This role involves delivering exemplary workflow management and organisational support to principals within the group/Firm, while also fulfilling all responsibilities of a Practice Assistant. 

The position requires a keen understanding of client needs, with dedication to providing exceptional service, and adaptability in assisting both principals and team members. As such, we this role requires a proactive approach to enhancing processes and meeting client/colleague expectations to contribute to the overall success of the group/Firm.

Key Responsibilities

Administration 

  • Coordinate diaries, meetings, and travel arrangements efficiently
  • Manage administrative tasks such as organising printing, couriers, and file management
  • Assist with marketing efforts, including pitch and presentation preparation for lawyers

Communication

  • Handle telephone queries, emails, and post promptly, directing client-related correspondence to the appropriate staff and ensuring timely responses
  • Coordinate with business support departments on behalf of lawyers and communicate any planned absences to relevant parties
  • Manage client relationships by maintaining client information, addressing basic queries, and organising client meetings

Documentation

  • Oversee document production and review work from the Document Services team for accuracy before forwarding to lawyers, with proficiency in Word for urgent edits
  • Draft correspondence and emails efficiently
  • Utilise PowerPoint for presentation edits and Excel for spreadsheet creation and maintenance

Financial

  • Aid lawyers in accurately recording their time daily and entering it into the system
  • Support lawyers in the billing and credit control process by collaborating with accounts to generate standard financial and time reports
  • Facilitate financial transactions such as requesting cheques, bank transfers, and depositing received funds

Team Player

In addition to providing support to the fee-earners to whom they report, a Practice Assistant will also aid their immediate colleagues in the department and, where practical, other departments. 

Team duties will therefore include:

  • Providing support to colleagues when available or as needed
  • Collaborating with department members and other departments effectively
  • Fulfilling additional duties as requested by Lawyers, Admin Services Manager, or senior staff

Qualifications and skills

The Practice Assistant will have a responsibility to ensure that their skill set is up to date and that they are familiar with the firm’s departments, key personnel, clients, internal systems, and procedures. This will ensure that the Practice Assistant is able to carry out the role effectively and, where appropriate, discuss any training requirements with the Admin Services Manager.

  • In addition to this, they should have/be:
  • Accurate typing speed of approximately 60 words per minute
  • Proficient in Microsoft Office Suite, research tools, and other firm-specific systems
  • Strong organisational, coordination, and communication skills
  • A Levels or equivalent, Secretarial qualification, MOS certification (desirable)
  • Excellent telephone etiquette and system knowledge
  • Detail-oriented, flexible, proactive, and demonstrable initiative 
  • Ability to perform under pressure, meet deadlines, and maintain a positive and solution-oriented attitude

Location and Reporting

This role is based in London, and reports into the Admin Services Manager.

Our standard office hours are 09:30-18:00, with a current requirement for 3 days in the office per week.
