The role

We are recruiting a Property & Workplace Assistant to join our Property & Workplace team in our Manchester office.

The role will be responsible for delivering and sustaining agreed levels of facilities support to all staff within the office to ensure the smooth running of all services to meet business needs, whilst promoting a professional image of the firm and the Property and Workplace department.


  • Book any services undertaken by Property and Workplace using agreed procedures and documentation
  • Ensure all incoming and internal mail is quickly and correctly sorted for scanning or distributed within the specified times agreed by the Property and Workplace Team Leader
  • Correctly sort and label outgoing mail ready for collection
  • Book outgoing courier deliveries and ensure they are collected within a reasonable time and to collect and distribute incoming courier deliveries within a time agreed by the company
  • Process, order and deliver files and deeds to and from off-site archive store as applicable
  • Ensure all areas controlled by Property and Workplace are clean and tidy at all times
  • Keep the offices and floors clear of any rubbish or obstructions and to ensure the company Health and Safety Policies and procedures are followed
  • Ensure that any moves or movement of items within or between the various offices is done so in a safe fashion in line with the company’s policy on Manual Handling
  • Ensure an adequate level of stationery, as agreed by the Property and Workplace Team Leader, is kept within the department and is distributed as required to all staff
  • Ensure all responsibilities of the Property and Workplace department are carried out to a high level.
  • Provide portering and other duties as required
  • Undertake meeting room set ups and checks as required
  • Politely and professionally respond to colleague, customer and client requests and queries
  • Take ownership of all tasks and actions from initial communication to resolution
  • Ensure good communication / feedback to the Property and Workplace Team Leader and customers as required
  • Ensure service level agreements are adhered to
  • Provide feedback to the Property and Workplace Team Leader on ideas for improvements to services.
  • Liaise with the Property and Workplace Team Leader in the organisation and implementation of building projects/internal moves and determining and procuring items for sites
  • Ensure DLA Piper meets all Health and Safety and statutory requirements in accordance with relevant regulations and procedures
  • To carry out any other reasonable departmental tasks and duties as required to provide such assistance as necessary to support the business
