Our Office Operations Team
The Office Operations function within the Firm comprises over 800 individual roles, supporting the global Firm of over 5,000 people. The Office Operations function is jointly led by the three regional COOs who are responsible for the Americas, EMEA and Asia-Pacific. Across the global function, there are around 350 roles covering office management, guest services, office services and facilities plus a further 480 Practice Assistants.
The function is responsible for the provision and management of all our office premises, all general office services and equipment, guest services (reception, concierge and hospitality), security and business continuity, travel, document and translation services and many more areas. We manage a range of underlying systems and processes and use a mixture of internal and outsourced service providers.
The global team supporting Office Operations is a small one – the function only became a more globally managed function in the past 5 years, sitting alongside Technology, Finance, People and Business Development & Marketing. Global initiatives are driven, managed and supported by the three regional COOs supported by a small global team. To this team, we would like to add this new role – to support the Office Operations department globally with business analysis, department communications and coordination activities.

Position SummaryYou will support the Office Operations function globally, including our Regional Chief Operating Officers, and managers from the Global Operations function, with a wide range of business analysis and project coordination activities. From day-to-day this may include gathering information from our Office Managers across the world, analyzing data in excel, or producing PowerPoint presentations and reports of your findings.
You will play a central role in keeping the Office Operations department running smoothly – a natural organizer who will develop agendas for leadership meetings, produce presentation slides, and provide accurate minutes following each meeting.
In addition to the above, a key part of this role focuses on department communications. You will be fluent in written English and enjoy drafting professional content including email newsletters and briefings. You will own the Operations digital presence on Connect and take responsibility for the page design, information architecture and maintaining relevant content globally.
Duties and Accountabilities
Business Engagement and Communications
- Communications Toolkit: Maintain the Operations communications toolkit including templates for announcements, newsletters and internal communications. Provide training to Office Managers to create their own local communications material.
- Operations Internal Communications: Liaise with department leaders to agree the content for quarterly and bi-annual Operations newsletters and communications. Take the lead in compiling and drafting content ensuring use of consistent language, and uniformity of look and brand.
- Engagement Campaigns: Support the communications of global projects and initiatives, including providing recommendations on the communications plan and channels, drafting communications media, preparing and implementing project communications plans and developing tools for target audience engagement.
- Digital presence: Develop and improve the Operations Connect presence including ownership of the brand, page elements, information architecture and content updates.
Global Function Support
- Coordinate the annual programme of Operations activities. This including creating and managing the annual activity plan, monitoring progress and timelines, liaising with Office Managers globally, identifying challenges and escalating to management as appropriate.
- Schedule and develop agendas for Operations department meetings including quarterly management meeting and annual strategy forum.
- Produce PowerPoint presentations in alignment with the Firm’s branding. Be able to present complex information in a simple and clear format.
- Provide Minutes and Action Items following each meeting.
- Support business analysis activities as needed, including Excel analysis, pivot tables, gathering data from different locations or teams across the firm, and drafting reports of your findings.
- Administer the department’s Microsoft Teams and iManage workspaces.
- Provide ad hoc business analysis support to RCOOs and managers in Global Operations team as requested.
Qualifications and competencies
- 2+ years’ work experience in an administrative or analyst position
- Excellent written English skills, able to draft content in a professional tone, for example newsletter articles or meeting minutes
- Natural organizer, able to keep plans on-track including ‘managing up’
- Experience in Microsoft PowerPoint, and able to produce professional slide decks
- Comfortable using Microsoft Excel for analysis purposes to produce tables and graphs. Pivot table experience preferred
- Microsoft Teams experience is ideal.
- Reliable, self-motivated, and driven to seek high standards and constant improvements
- Sound judgment, and high degree of discretion
- Effective communication skills, confident to communicate with all stakeholder levels, and with offices around the world
- Experience in working internationally and cross culturally
Location and Reporting
- This is a global role based in London
- Our standard office hours in London are 09:30-18:00, with a current requirement for 3 days in the office per week.
- This role reports to Associate Director, Global Operations
