ROLE OVERVIEW
We are recruiting for a Trainee Recruitment Administrator to join the Trainee Recruitment Team.
The Trainee Recruitment Team is part of the HR Department and the wider Business Services function based at the firm’s head office in London. Its purpose is to work alongside the Trainee Recruitment partners to attract and recruit graduates who will ensure the continuing success of the firm.
The team consists of the Head of Recruitment, Marketing Manager, Operations Manager, Adviser, Executive, Assistant, and three Administrators. The successful candidate will report into the Operations Manager .
KEY RESPONSIBILITIES
The key responsibilities of this role are set out below, and will be shared between the three administrators. There may be others which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm.
Applications

Individually checking and processing training contract and work experience applications (approximately 4,000 per year) through the online recruitment system

Managing the shared trainee recruitment applications mailbox and updating candidates’ applications/fielding queries as appropriate.

Maintaining the online recruitment system in an accurate and timely manner, including communicating application outcomes to candidates and managing the online interview scheduling tool

Keeping application tracker spreadsheets up to date

Responding to general trainee recruitment queries (both internal and external) by telephone and email
Interviews
-
Meeting candidates virtually or in person and setting up their written exercises

Liaising with EAs across the firm to identify partners and associates to conduct interviews (approximately 700 interviews per year)

Maintaining the detailed interview schedules and ensuring that the interview process runs smoothly

Identifying trainee solicitors and HR representatives to meet with candidates as part of the interview process

Liaising with the room bookings team to arrange meeting rooms (for interviews in the office)

Creating calendar invites for each stage of the interview process

Obtaining interview notes from interviewers
Recruitment events/work experience schemes
- Identifying trainee solicitors to assist with events (approximately 200 events per year)
- Assisting with the administration of work experience schemes, open days, workshops and recruitment events (including booking travel/hotels)
- Processing invoices and student travelling expenses
- Attending recruitment events on an ad- hoc basis
Future trainees
- Checking future trainees’ certificates and transcripts
- Preparing individual HR files for future trainees
Marketing
- Managing the university prize-winner’s process – liaising with the universities for the prize-winners, organising payment and organising meetings with university student prize-winners.

Supporting the Marketing Manager with social media content campaign and event campaigns: creating social media assets, creating and sending out CONCEP emails, assisting with law society promotion campaign

Assisting with the logistics for the autumn event campaign (including booking travel/hotels)

Keeping the mailing list up to date

Conducting the yearly competitive analysis report
CANDIDATE PROFILE
Candidates for this position must have:

Ideally degree calibre or equivalent experience

Excellent proven organisational skills, with the ability to multi-task and keep calm under pressure

Excellent interpersonal and communication skills

Excellent attention to detail and good use of grammar

Enthusiastic individual prepared to take a hands-on approach to managing their workload using their own initiative
- Assisting the Managers with the analysis and stats for strategic reviews and market research
