ROLE OVERVIEW 

We are recruiting a Client Hospitality & Events Assistant to work within the Business Development Team, forming part of the wider Business Services function and based at the firm’s Head Office in London. 

The Client Hospitality & Events Team are an integral part of Business Services and are responsible for managing the firm’s corporate memberships, client hospitality and firmwide events. Therefore, developing strong working and personal relationships, built on confidence and confidentiality, is paramount.

KEY RESPONSIBILITIES 

The key responsibilities of this role are set out below – there may be others which are not listed. This role may require some working outside our normal working hours of 9.30am to 5.30pm as overtime. 

The team are looking for someone to provide an efficient and professional Events service to all clients (internal and external) whilst ensuring the provision of an exceptionally high level of service. 

 Taking initial enquiries, researching and responding to requests 

 Working closely with the Client Hospitality and Event Coordinators to make allocations 

 Client Hospitality and Event Bookings mailbox management 

 Maintaining allocation spreadsheets 

 Maintaining the Hospitality Bookings system 

 Drafting communication to the firm advertising corporate membership benefits and upcoming event opportunities 

 Distributing e-tickets and drafting communications to hosts 

 Processing invoices and payments 

 Researching upcoming events and exhibitions 

 Supporting the Events team with the production of printed materials required for events such as brochures, table plans and menu preparation, all the whilst ensuring there are no spelling errors and communications are relevant and succinct 

 Assisting the other members of the team with monitoring RSVPs for events and updating the CRM system pre and post event 

 General administrative duties such as coordinating invitation mailings and chasing outstanding responses and guest lists 

 Coordinating evaluation feedback when required 

 Creating weekly and monthly reports on event data and analysing patterns/trends 

 Supporting the firm’s requests for CRM data reports for client relationship management/plans 

 Maintaining the Venue Database updated with new and upcoming venues/suppliers 

 Checking of attendee lists and production of name badges / dinner place cards / tent cards 

 Assisting with room set ups as required 

 Meeting and greeting clients as required 

 Working closely with suppliers to build strong working relationships 

 Liaising closely with support staff such as Catering, Porterage, Audio Visual, Security and Technology 

 Attending and contributing to team meetings and meetings related to events, as required 

 Ad-hoc event support when required 

 Supporting the team on the delivery of events both in-house and offsite, when required 

 Some elements of the role require manual handling in respect of furniture and equipment 

CANDIDATE PROFILE 

Candidates for this position must have:

Candidates for this position will be expected to have worked, or be working, in a similar role within a professional legal services environment. We also require candidates to demonstrate; 

 Advanced knowledge of Microsoft Office Packages (in particular Word, Excel and PowerPoint). This role will demand extensive use of these packages and will also require excellent administrative skills and experience 

 Problem solving, solution driven, thinking on their feet 

 Ability to communicate effectively at all levels (written, spoken and presentational), working well within a team. A willingness to provide feedback, share information and contribute ideas and suggestions as necessary 

 Excellent interpersonal and communication skills, written, spoken and presentational with a demonstrated experience of delivering excellent levels of client service 

 Will need to adhere to the firm’s grooming guidelines 

 Excellent attention to detail and good use of grammar 

 Active listening skills and demonstrates professionalism in all dealings 

 Ability to build strong business relationships with internal and external clients and the resilience to deal with demanding individuals 

 A confident, proactive individual prepared to take a hands-on approach to managing their workload using their own initiative 

 Excellent organisational skills, with the ability to multi-task, keep calm under pressure and work to tight deadlines 

 Experience of working in a diverse team whilst fostering an inclusive team culture 

 High level of professionalism and integrity; displays the highest standard of professional ethics 

 Flexibility with hours is necessary when the work of the firm requires it 

 Comfortable accepting instructions and guidance from different angles
