Our busy Facilities team in Plymouth are looking for a Facilities Co-ordinator to join them on a full-time, permanent basis.

The team

Our Facilities Services team are one of the many teams that keep our business running smoothly. A key cog to the Plymouth office, the team ensures we have a great office environment to work in and all the facilities we need to be successful.

The role

The role consists of processing large volumes of work relating to archiving the firms files, deeds, wills and other documents, including working on a major file destruction project. Your main responsibilities will include:

  • Closure of client matters and preparation for sending physical files/deeds/wills etc. to archiving storage.
  • Dealing with retrieval requests through the archiving system/emails for on-site and off-site employees.
  • Regulating delivery and restoring of files from off-site storage facility.
  • Physical movement of box files due for destruction from our off-site storage facility to the Plymouth office for review.
  • General retrieval requests, maintenance and organisation of our off-site storage facility.

You'll also assist our Facilities team in the post room by dealing with requests from our Lawyers and Support staff as well as external providers of postal and logistics services. You'll process mail (incoming and outgoing), carry out photocopying and scanning, as well as printing emails and other large documents. There is some complex equipment – but don't worry we'll give you all the training you need.

As well as the above there will be some general duties involving the day to day running of the office from stationery orders and maintenance requests through to running errands and health and safety issues.

So, what are we looking for?

The role requires someone with previous office based experience and knowledge of IT packages including Microsoft Word, Excel and Outlook. You'll need to be able to multi-task but still maintain attention to detail. You'll be a motivated pro-active team player with excellent communication skills. You'll have a flexible approach and be consistently helpful.

You must also be able to work on your own initiative and have the ability to work to deadlines. We're looking for enthusiastic individuals who love working as part of a team; this is a really social role interacting with lots of different people – this is where your great customer services skills come in.
