Department/Role overview:

Ashurst's Change & Business Improvement function is maturing and expanding their ePMO service offering and are looking for a highly motivated co-ordinator to join the EASI (Executing Ashurst Strategic Initiatives) team. This is a hands-on role requiring a can-do attitude and is suited to someone who is looking to become actively involved in the management of the firm's change portfolio.

Main responsibilities:

The main responsibilities will include, but not be limited to, the following:

  • Manage the ePMO mailbox.
  • Central point of contact for new initiatives registered with the ePMO.
  • Monitor and track progress of initiatives throughout the business case preparation phase and escalate any issues that may arise.
  • Meeting support for the firm's Initiatives Review Group and Investment Committee meetings (scheduling, preparing meeting packs, capturing actions & decisions, post meeting communications and action follow-up).
  • Provide support to manage the firm's Change Roadmap, including the backlog, change logs, key risks and issues.
  • Provide coordination support during the annual Strategic Initiative planning cycle.
  • Support the firmwide portfolio and project reporting process, providing quality assurance and analysis on the reports to ensure and maintain a single source of truth, flagging areas of concern and inconsistency.
  • Participate in project health checks where concerns have been raised.
  • Manage and maintain the ePMO intranet site

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requirements and internal policies.

Essential skills and experience:

We are looking for a highly motivated individual with the following skills and experience:

  • A good understanding of the project delivery lifecycle.
  • Diplomatic, with excellent communication skills, both verbal and written, along with a track record of establishing and maintaining effective relationships with stakeholders at all levels.
  • Strong organisational skills and comfortable to work in a fast-paced environment.
  • A willingness to take initiative and problem-solve.
  • Remains calm under pressure, is confident to escalate issues or flag risks that may surface.
  • Experience in working in a global environment and across multiple time-zones.
  • Strong experience in working with main MS office applications (Excel, PowerPoint etc.).

Desired skills and experience:

The following skills or experiences would be desirable but are not essential:

  • Experience coordinating the work intake process of an organisation.
  • MS Project, JIRA or PPM experience.
  • PMP / PRINCE2 certification.
