The role

THE OPPORTUNITY

We are recruiting a Property and Workplace Manager to be based in our Edinburgh office.

The role will provide a first class professional Property and Workplace service which is client focused, commercial, innovative and supportive of the firms vision.

Reporting to the Regional Property and Workplace Manager – UK, the role will oversee the delivery of Property and Workplace services and projects within their assigned area of responsibility. You will be responsible for successfully directing all the Property and Workplace related activities within their assigned area through direct and indirect reports to ensure that the highest level of client and staff satisfaction within the Property and Workplace service provision is achieved.

You will be responsible for the management of the firm’s premises in the areas you have responsibility for, overseeing the delivery of services, including but not restricted to: maintenance, storage, archiving, mail services, logistics, catering, vending, reception services, hospitality and meeting room support, refurbishments, projects, relocation, property management and landlord liaison.

MAIN DUTIES AND RESPONSIBILITIES 

  • Ensuring a high standard of service is delivered in the office to support the needs of the business
  • Ensure that staffing and resource levels in each assigned area of responsibility are appropriate to the activities, service levels, and available budget. Carry out effective and timely performance reviews for direct reports
  • Responsible for ensuring the performance of suppliers and any outsourced services meet or exceeds the contracted service levels and key performance indicator targets
  • Use knowledge of the working environment to best achieve goals and objectives
  • Ensure through direct and indirect reports that the firm is achieving compliance with all relevant regulations and standards
  • Develop and implement innovative and effective processes and procedures that reduce cost, increase effectiveness, and customer satisfaction. Share best practice with colleagues
  • Responsible for the implementation of corporate and Property and Workplace strategic objectives and directives including compliance with corporate standards, premises guidelines, procurement guidelines, and Property and Workplace policies and procedures
  • Leading on or assisting the Regional Property and Workplace Manager – UK as directed on office property matters (e.g. leases, rent reviews, and service charge matters)
  • Provide timely and accurate reporting on the performance of Property and Workplace activities in their area
  • Lead on or maintain oversight of projects as required
  • Prepare the detailed office annual Property and Workplace budget control pack and monitor performance against the agreed budget. Develop a strategic business plan for the assigned areas of responsibility that is in line with, and supports, the overall Property and Workplace strategy and the firm’s strategic plans
  • Prepare business cases for capital expenditure requests
  • Actively monitor revenue and capital budgets for his/her assigned areas of responsibility and ensure overhead costs are controlled
  • Where applicable, responsible for preparing the service charge reconciliation and service charge budget and accounts for the building and sub tenants working with the firms property advisers in line with RICS code
  • Ensure compliance with the Firms Health and Safety policies and procedures
  • Responsible for ensuring that environmental initiatives remain a high priority and that all environmental data and information required for the firm’s environmental management systems and any other environmental project is provided in an accurate and timely fashion
  • Responsible for energy data recording and monitoring to help the firm meet its compliance with the Carbon Reduction Commitment (CRC) and for the firms ISO 14001 management system
  • Responsible for updating the Business Continuity Plan annually for their area and circulating to the Bronze Team. Taking responsibility for relevant emergencies working with the Bronze Team as required
  • Responsible for keeping the Dawn Raid chart and emergency contact charts up to date and circulated and understood by Reception and other relevant teams
  • Responsible for keeping up to date floor plans readily available

ABOUT YOU 

The ideal candidate will be experienced in operating in a similar role in a corporate environment and will possess a strong and thorough knowledge of Property and Workplace and the built environment. You will demonstrate flexibility, leadership, initiative and a willingness to take responsibility.

  • Be able to develop good working relationships with senior level stakeholders
  • Have the ability to prioritise and multi task
  • Have the ability to maintain organisation and leadership through periods of change
  • Have strong interpersonal and general management skills
  • Be education to A-Level or equivalent standard
  • Project Management experience
  • Ability to drive through and champion change
  • NEBOSH or IOSH qualified
  • Member of IWFM
