Department/Role overview:

Ashurst Service Central (ASC) supports the firm to deliver smart and scalable business services. An experienced team of problem solvers and service professionals are designing a "one stop shop" for essential services across the employee and client lifecycles.

The aim is to create a business service engine which will support our progressive law firm. Since 2020, ASC has a team over 100 service professionals operating primarily out of Brisbane and Glasgow responsible for delivering a joined-up user experience across a number of essential services.

Within the ASC People Team we focus on delivering smart and effective People processes ensuring a great employee experience; supporting our People & Culture Function whilst administering the employee lifecycle events.

The Team Leader will have responsibility for managing our ASC People Team supporting the wider People & Culture function This team currently consists of 10 employees. They will work alongside our HR Project Team to ensure the smooth running of all the HR Services.

Working flexibly 2-3 days in the office, this role will be to lead on all ASC HR BAU tasks, managing the team to ensure timely completion of work to the highest standard

Main responsibilities:

As the HR Team Lead you will have the opportunity to lead the ASC People team to ensure operational effectiveness.

Your responsibilities will include:

  • Plan and manage the workflow and case management allocation across the team , through full and comprehensive queue management
  • Monitor the service/case management system to ensure service standards are met, records are updated in a timely manner. responses are accurate and in line with process, and cases are closed/updated accordingly
  • Provide strong leadership and clear direction to the ASC People Team ensuring high levels of customer focus and quality.
  • Work with ASC Management team to ensure effective resource management
  • Support the team with complex cases/queries
  • Analyse and monitor the resource utilisation , volume metrics, day to day performance
  • Partnering and collaborating cross-functionally with other ASC teams; HR business partners, Information Technology, suppliers, vendors and other cross functional teams to improve processes; and resolve issues, which lead to an enhanced employee experience.
  • Develop over time, to include the expansion of our processes, to consider end to end lifecycle processes and activities. This will involve liaising with other functional areas to introduce a single point of contact for employees and line managers within the firm to improve employee experience.
  • Supports ASC People Manager to operationalise new HR policies and procedures that impact our employee lifecycle events and processes ensuring that these changes are embedded within our working processes and team are trained to deliver.
  • Engages with our global offices to provide support to the local HR Managers where appropriate.
  • Work with the ASC People Manager and Heads of HR to identify global and local activities which would benefit from being centralised within ASC People.
  • Collaborates with HR Operations Teams and stakeholders to identify best practices to support efficient and accurate HR processes.
  • Engage and Liaise with Payroll & Reward team to optimise and improve the employee lifecycle processes.
  • Work with the Service Improvement team to develop, review, and communicate standard, repeatable, and effective processes through the end to end employment lifecycle.
  • Working with the Business Assurance lead to champion effective process, protocols, and systems to ensure quality records management and data integrity.
  • Working with the HR Projects Team Leader to provide operational support to key HR projects including system changes and upgrade, and systems and process improvements.
  • Identify, make recommendations for and deliver service improvements using best practice, user feedback and feedback from the team.
  • Coach and develop ASC People Team, ensuring clear goals are set and aligned with ASC and firm strategy.
  • Proactively manage team in line with our performance management procedures.

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requirements and internal policies.

Essential skills and experience:

  • Previous experience within a Shared Service or outsourced environment.
  • Experience in delivering high quality HR Administration support
  • Knowledge of HR practices, procedures and standard policy and procedure development techniques.
  • Knowledge of HR legislation (CIPD qualified or working towards qualification).
  • Track record of building and maintaining stakeholder relationships.
  • Proven ability to collaborate and influence key stakeholders, peers and senior management.
  • Ability to establish cross-functional, collaborative relationships with colleagues at all levels.
  • Excellent customer service orientation.
  • Demonstrated ability to be solution-oriented.
  • Strong problem-solving and analytical skills, tracking progress and success against appropriate metrics.
  • Strategic initiative: ability to identify issues, develop recommendations, sell ideas, and implement solutions.
  • Ability to gather data, to compile information, and prepare reports.
  • Excellent presentation skills and ability to communicate clearly and concisely, both orally and in writing.
  • Well-organised, detail-oriented, and ability to multi-task and prioritise own workload and assist other team members to achieve collective goals.
  • A proven track record of working with HR systems; with evidence of implementing new HR processes and workflows which adds value to the organisation.

Desired skills and experience:

  • Data analysis, manipulation and reporting experience.
  • Knowledge of continuous improvement methodologies.
  • Strong People Management Skills
  • Experience of working in a professional services environment would be advantageous
  • Willing to be flexible with time and adjust priorities when necessary to meet the requirements of the business
