Job description

We are currently recruiting for a Real Estate Manager to join our Business Services department on a permanent basis.

Department purpose

The Business Services team at A&O provides a first class service to the business, offering strategic advice at the business partner level and quality support services in the full range of Business Service (BS) functions through specialist teams such as Front of House and Hospitality, Document Services, Real Estate, Engineering and Security.

Role context and purpose

This will be a dedicated real estate role working to support the firm on all global real estate projects.  The role will need to work across both Workplace Strategy and Leasing projects, combining space and contractual requirements.  The role will help to develop long term real estate strategies and support with implementation.  The role will manage property transaction processes and be a pro-active advocate for developing workplace solutions that support the way A&O lawyers work. The role requires the ability to Project Manage several lease transactions simultaneously working under the direction of the Senior Manager. The role will be expected to deliver certain projects autonomously.  The role  will interact with multiple stakeholders including internal clients and team members from multiple work streams, as well as working with a number of external consultants.  The role will report to the Senior Real Estate Manager who will give direction and support to the role across all projects.

Key relationships

The role will report to the Senior Real Estate manager. The role will need to work closely with Senior Managers within Project Management, Engineering, Finance, and HR. The role will need to work closely with external consultants including lease administration, local real estate brokers (agents) and other surveyors and lawyers.

Role and responsibilities

Support global leasing projects including:

  • Analysis of existing contractual lease obligations and identifying key strategic considerations
  • Working with locally appointed brokers (in global locations) to consider market dynamics and options available
  • Analysis of strategic options to identify risks and opportunitities and to effectively convey the critical considerations to stakeholders to support decision making
  • Engaging with local stakeholders to take into account business drivers and requirements
  • Financial analysis of options taking into account key portfolio metrics relating to cost ratios, CapEx and savings
  • Working with multiple stakeholders from project management and construction, engineering, workplace, environment, HR etc. to develop a rounded strategy for recommendation
  • Work to drive agreement locally of recommended strategy and secure business case approval from management
  • Support counsel to ensure that commercial and other terms negotiated are captured in the legal review

Workplace:

  • Securing engagement of key local stakeholders and leading the process with appointed architects as part of a steering group to guide a workplace investigation to help to define future ways of working
  • Work to share best practices across global projects and to educate and share learnings from external sources as well as other A&O offices
  • Take an interest in the role and importance of the workplace and work to transfer this knowledge to our local stakeholders to help them to determine their future office design
  • Working with local architects to complete workplace projects to determine space requirements

Lease administration and analysis:

  • Ensure that the lease administration database is always up to date and captures our existing contracts globally (working through external consultants who maintain the database)
  • Work to monitor and undertake data analysis to make meaningful assessments of how the portfolio is performing from a space and financial perspective

Key requirements

  • Able to run high level cash flows and to analyse cash flows from finance to ensure relevant real estate considerations are reflected
  • Ability to analyse lease contracts and identify key obligations and liabilities
  • Global markets experience is critical
  • Able to engage with the firm’s partners and to build trust and confidence in this regard
  • Ability to engage with multiple stakeholders both internal and external and to lead a strategic review that incorporates inputs from all stakeholders to support a robust strategy
  • An understanding/ experience with workplace strategy, office architecture and change management preferable
  • Excellent communication skills
  • Preferably RICS or other relevant property accreditation

Who we are looking for

  • 7+ years of experience preferably within a Corporate Real Estate or other office real estate role either within an occupier, Landlord, or consultancy environment. Global experience is critical. Alternatively, a background in workplace and/ or office architecture will also be considered. A commercially minded strategic and analytical thinker. The ability to manage multiple projects at any one time with an ability to prioritise effectively and efficiently. A collaborative team player.
