Role: Digital Technology Delivery Manager

Location: Based at Ashurst's London office

Reporting to: Head of IT Implementation & Strategy

Hours of work -

Monday to Friday, 09:30 - 17:30 (with flexibility around these times to meet deadlines and requirements of the role, as directed by the Head of IT Implementation & Strategy).

Department/ Role Overview:

This role has the following key areas of responsibility:

  •  Leadership of the Ashurst IT Project Management Office, including a team of 3 people
  •  Key liaison between the CBI portfolio of projects, Ashurst Advance Digital, Ashurst Risk Advisory and other practice groups into the IT team.
  •  Relationship management across the IT function and with the Business PMO to support the delivery of change

This role will support the different practice groups in developing detailed business cases on change initiatives, ensuring they have input across the IT function and are ready for presentation to the relevant approval groups (e.g. IRG).

The Digital Technology Delivery Manager will develop and implement best practices to enable the successful evolution of projects from inception, through their approval as a business case into the IT delivery methodology. This will include maturing the Project Management Office in such areas as resource management and prioritisation processes, which are aligned with the Business PMO.

Some of the key activities of the role include: scope and business case management; programme vision and blueprint development; benefits and quality management; stakeholder management; portfolio management; programme, tranche and project planning including milestone management; risk and issue management; and vendor management. Integral to delivering these activities will be financial management; maintaining risks, issues, assumptions, actions logs; resource forecasting; change control; dependency management; and programme reporting.

Operationally, this role will support project prioritisation, development of regular management information, financial reporting, resource planning, decision making, and recruitment.

Main responsibilities:

Project Management Office

  •  Line manage the PMO department and any future recruitment into the organisation
  •  Support the PMO manager to define and ensure the successful implementation of the PMO's strategy, responsibilities, services and deliverables.
  •  Accountable for the delivery of an agile framework in Ashurst
  •  Monitor Project and Programme reporting and assist the Heads of Function in reporting to Senior Management.
  •  Accountable for the frameworks and standards for Programme and Project Management.
  •  Accountable for PMO related financial and KPI information. Provide and maintain a capacity planning and resource tracking service across portfolio and programmes.
  •  Maintain oversight of project control and governance
  •  Chair of the Portfolio Review Group to maintain rigour in project delivery
  •  Implement and oversee a continuous improvement cycle across all process.

CBI, AAD, ARA & Practice Groups

  •  Act as the facilitator for the business into IT ensuring we have a "single entry point" for initiating change.
  •  Consulting with stakeholders on their requirements and support the development of solutions.
  •  Establish and embed processes, aligned with the business PMO, to improve the project initiation process.
  •  Work with the Business PMO to improve processes in the prioritisation and delivery of change ensuring this is aligned to strategy
  •  Support the development of busines cases and their presentation at the relevant governance forums in Ashurst
  •  Deputise for the Head of I&S at the Initiatives Review Group
  •  Oversee project costs development and ensure finances are well managed.
  •  Ensure cross-programme/group dependencies are highlighted, managed and the dependency log is accurately maintained.
  •  Coordinate project closure, aligned with the Business PMO, to distil good practice and ensure lessons learned are logged.

Relationship Management

  •  Maintain strong working links across the firm to keep abreast of new initiatives or changes on the horizon.
  •  Prepare regular management information to all levels of the business.

Ensure efficient change control methods and process are utilised

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requirements and internal policies.

Essential skills and experience:

  •  Line management and team leadership experience.
  •  Strong relationship management skills and diplomacy.
  •  Ability to challenge stakeholders and influence at all levels of the business.
  •  Experience of leading a PMO office.
  •  Experience of project management using AGILE and PRINCE2 methodology (or equivalent) for medium to large sized projects.
  •  Strong skills in creating and maintaining project and programme plans, including risks, actions, issues, dependencies.
  •  Highly efficient in resource planning and task assignment.
  •  Knowledge of benefits and dependency mapping, risk management and resource planning.
  •  Highly proficient IT skills in Word, Excel, PowerPoint, and MS project.
  •  Line management or team leader experience.
  •  Excellent written/oral communication skills for reports and presentations.
  •  Strong and demonstrated ability to build lasting relationships with key stakeholders.
  •  Ability to competently mediate disagreements and negotiate agreeable resolutions.
  •  Experience of Programme and project level financial management.
  •  Experience of defining and delivering benefits realisation for projects and programme.
  •  Team player able to work effectively at all levels of an organisation with the ability to influence others to move toward consensus.

Desirable skills and expertise

  •  PRINCE2 Foundation or Practitioner, or equivalently qualified in similar project management methodologies.
