Job Overview

Business Area – Operations

Role: Office Operations Assistant

Location: Glasgow

Reporting to: Operations Manager

Hours of work – 37.5 hours per week Monday to Friday, working 7.5 hours a day including an hour for lunch, between the hours of 08:00 – 20:00

Department/ Role Overview:

This role involves a combination of administration and office assistance in order to ensure the day to day running and performance of the Business Services department in the Glasgow office.

Main responsibilities:

  • Answering telephone queries (internal & external)
  • Meeting and greeting visitors to the office as required
  • Distribution of mail and supplies when Office Services Assistant is absent or when required
  • Ordering stationery and kitchen supplies for the office
  • Supervision of general notice boards to ensure communications are kept up-to-date
  • Ensure all areas of the office are kept to a high standard
  • Report cleanliness issues/maintenance to cleaners
  • Report office faults or hazards to the Operations Manager
  • Assisting with seat/desk moves when required
  • Support Office Apprentice with set up of events when required
  • Managing Global business card requests
  • Assistant the Senior Office Administrator in updating and maintaining office floor plans, organisational chart and office pages
  • Uploading office floor plans, organisation chart and office pages to intranet when Senior Operations Administrator is absent
  • Assisting with Health and Safety projects/administration alongside Senior Operations Administrator
  • Involved in the setup of our New Joiner induction days
  • Set up of VC interviews
  • Conducting DSE assessments in the office
  • Updating Workstation Assessment database
  • Supervising kitchen and stationery stock, liaising with Office Apprentice to ensure office is stocked appropriately
  • Holiday/sickness cover of team members
  • General admin duties
  • Any other duties required by Line Management
