Department purpose

The HR Support Service Centre at Allen & Overy provides a first class service to the firm, offering high quality administration support services through a range of specialist teams including HR Advice, the HR Systems Helpdesk, Resourcing, Graduate Recruitment, Payroll & Reward, Training & Events and Global Mobility.

Role purpose

The Payroll Team is responsible for the preparation of the monthly payroll for Allen and Overy’s UK based employees and  posting of payroll related costs to the accounting system. The Payroll Specialist will manage all payroll related employee queries, and deputise in the Payroll Manager's absence, assuming responsibility for the co-ordination and delivery of all payroll activity, and providing support and guidance when requested.

Role and responsibilities

  • Input and process all aspects of the monthly payroll including, and not limited to, joiners,  leavers and changes to terms and conditions using PeopleSoft Global Payroll
  • Process all tax code changes
  • Deal with all direct employee payroll enquiries
  • Liaise with the HR Administration team and with HR managers regarding individual employee payroll queries and payments (including calculations for the purposes of assignments or secondments)
  • Calculation of all aspects of monthly payroll including, and not limited to, SSP and SMP, GAYE, one off payments, employee loans etc
  • Producing P45 certificates for leavers
  • Monthly reconciliation of payroll control accounts, creation of journals as and when required
  • Assisting with monthly reconciliation to ensure the smooth running of year end processes
  • Liaise with the firm's season ticket provider in relation to processing employee season ticket loans and be responsible for maintaining the season ticket process
  • Liaise with the GM team regarding UK employees on assignment into and out of the London office
  • In liaison with Payroll Manager and Finance team, assisting with year end processing and P11Ds
  • In liaison with the Payroll Manager:
  • Reviewing and authorising the monthly payroll calculation prior to sign-off
  • Responsible for finalising the Errors and Exceptions report
  • Responsible for the preparation of the files for the release of the BACS payments
  • Keep up to date with new legislation and regulatory ruling impacting payroll
  • Ad hoc projects as required by the Payroll Manager
  • RTI – assist Payroll Manager in the preparation and sending of all RTI files
  • Carry out all aspects of the role adhering to the agreed performance level metrics and service level agreements.

Key requirements

  • Proven track record in processing a comparable sized payroll and be comfortable processing SSP, SMP and gross to net manual calculations
  • Previous experience of preparing reconciliations of general ledger accounts
  • Experience in Accounting and Financial systems
  • Highly numerate with exemplary attention to detail
  • Excellent communication skills (oral and written)
  • Highly organized and able to work under pressure and to deadlines
  • Proficient in the use of Microsoft Office (Excel & Word)
  • Proven ability to work well in a team as well as under own initiative

  • A recognised professional payroll qualification 
  • CIPP Membership
  • Experience working in  an in-house payroll team
