THE OPPORTUNITY

Our team is responsible for evaluating, procuring and managing electronic and print resources in the UK, Europe, Middle East, Africa and Asia-Pacific and ensures that the international business has access to the legal and business information sources it needs.

MAIN DUTIES AND RESPONSIBILITIES 

  • Support the overall vision and plans for knowledge services as it adapts to changing business requirements as well as exploiting new technologies in an evolving digital landscape
  • Provide a range of administration support activities to the knowledge services team
  • Joiner/leaver processes - ensure the processes for joiners/leavers are administered on a weekly basis 
  • Administration and processing of invoices - ensure an efficient and seamless process from receipt of invoices through all stages to final payment, working closely with finance teams and suppliers to troubleshoot invoice queries
  • Administration of user ID's and passwords for all online information resource
  • Collating information - pulling together information on our information resources subscriptions for a variety of needs and organising the information in a coherent and logical manner to enable clear understanding and analysis of the information set
  • Maintaining records - ensuring that records tracking the procurement and usage of information resources are kept up-to-date and accurate
  • Troubleshooting a range of information database user enquiries from the international business
  • Procurement processing - supporting the ordering and processing of purchases and renewals as well as organising direct distribution of hard copy materials from suppliers
  • Supporting the Research team with handling research enquiries requiring the provision of information from hard copy resources and via third party providers
  • Supporting the provision of training on the use of resources

ABOUT YOU 

  • Strong administration skills, preferably gained from working in a professional services firm
  • Experience of processing large amounts of information/data whilst diligently maintaining accuracy in your work
  • An understanding of invoice processing and challenges in the process
  • Strong problem solving and organisational skills with the tenacity to see through tasks to a successful resolution
  • The ability to handle competing priorities and expectations in a fast-paced environment whilst maintaining a calm and professional manner
  • A customer-focused attitude with a practical can-do mentality
  • Strong numeracy skills and have the agility to work with figures in multiple currencies
  • The ability to build strong working relationships in both physical and virtual teams and are a reliable and flexible team member
  • High proficiency in Microsoft Word, Excel and Powerpoint
