Job Details

Our IT Project team has an exciting opportunity to join them as a PMO Analyst. Working in conjunction with the PMO Manager and Head of IT Programmes & Projects  (and the wider IT Services team), you will assist with project delivery primarily within the IT department. The role is full time, permanent, based in our Bristol office working Monday – Friday 9:00am – 5:00pm.

Key responsibilities

  • Work in conjunction with the PMO Manager and Head of IT Programmes & Projects to ensure project delivery through robust control
  • Act as a reference point for PMO queries and information, advocating best practices in project management
  • In support of the Head of IT Programmes & Projects, take a key role in the production and delivery of the Annual IT Investment Plans for review and approval of the IT Director. These plans need to take into account;
  • The client’s business strategy
  • The client’s IT strategy
  • The Annual Technology Viability Review
  • Technology innovations in the market
  • Effectively utilise your own and the PMO team's time to support the IT Director and Head of IT Programmes & Projects to successfully manage and deliver the OC IT Projects Portfolio
  • Respond appropriately to the client's changing requirements through the year and manage the Project Management tool (Daptiv) to capture all new work as verified by the IT Director
  • Develop an effective working relationship with appropriate stakeholders (eg. Finance) to ensure effective project information is provided in a consistent, accurate and timely manner
  • Develop a central repository for all project team documentation and communication within the project pages of the Exchange (intranet) and ensure this is updated regularly
  • Ensure all reports required by the IT Director and Head of IT Programmes & Projects are produced accurately and on time each month to enable the IT Director to effectively liaise with the Executive Board and international IT Directors and Partners and governance

Other duties

  • Improve project management maturity primarily within the IT Department, define and uphold agreed standards and processes through the entire lifecycle of project development, execution, delivery and closure
  • Identify opportunities for development and maturity of the project delivery process and methods in line with overall IT and OC strategy
  • Provide analysis and interpretation of project and financial data contained mainly within a PPM Tool and develop/publish relevant reports and MI to the Project Management Team, IT Director, Finance Manager and Heads of Department within IT
  • On a discretionary basis, manage small projects (or aspects of small projects eg. Financials) when required
  • Working with the PMO Manager and Business Analysts, identify process improvements specifically in relation to Investment Planning, Benefits Management and project delivery strategy
  • Provide support to a PMO Administrator
  • A high level of Project Management process/methodology or delivery is expected (eg. Prince2 or similar) as is experience of using PPM (P3) Tools. P3 accreditation will be an advantage
  • Supports project management governance and associated inputs/outputs to ensure managed delivery of the OC IT Project Portfolio – including international projects.   • Responsible, in conjunction with the PMO Manager, for supporting the production of the Investment Plans for all OC national and international jurisdictions. Ensure involvement in the management meetings, production of the reports and other associated tasks
  • Using the PPM Tool (Daptiv), checks that all projects adhere to best practice and standards. Communicates regularly with stakeholders and provides appropriate documentation/ training
  • Supports change and promotes the continuous improvement of project management-related processes
  • Responsible for providing comprehensive and useful MI/reporting to senior and key stakeholders – where necessary using data to point out relevant highs and lows. Acts on information gathered and provides trends, solutions and guidance to the PMO Manager, Head of IT Programmes & Projects and the IT Director on how information can be improved, updated, archived etc
  • Controls, creates and maintains project-related documentation (forms, templates, work aids etc.) in a structured way. Organises quality reviews of documents as required to ensure buy-in and consistency. Liaises with the PMO Manager and Head of IT Programmes & Projects to ensure the appropriate documentation templates are in use
  • Ensures that all templates, process documentation and other project communications are held centrally and accessible to all members of the IT team and, where appropriate, the rest of the Firm
  • Acts as a contact with external service providers and is able to represent the OC IT Programmes & Projects team with a solid degree of knowledge and expertise

What we're looking for

  • Competent in all aspects of IT portfolio, programme and project management
  • Demonstrable knowledge and practical experience of PMO Analysis as well as portfolio, programme and project management practices, such as: P3M, PMP, PRINCE2, Agile and Lean. Project Management delivery experience is an advantage as is project planning eg. MS Project or similar
  • Have a strong understanding of business and commercial needs
  • Competent in systems/methods for the management and measurement of quality
  • Financial management skills covering budgeting and reporting and overall project financial control to ensure investment value for the client. Experience in the construction of annual investment plans is an advantage
  • Excellent written and verbal communications skills with proven ability to communicate to diverse audiences of all levels
  • The ability to solve problems and make decisions
  • Able to work collaboratively within the small PMO Team and the wider Project Management team
  • Builds, maintains and promotes honesty, belief and confidence with all internal and external customers
  • Creative and innovative in identifying solutions
