Job Overview

Business Area - Business Development

Role: Senior Events Executive (7 month FTC)

Location: London Fruit & Wool Exchange, 
               1 Duval Square, London E1 6PW

Reporting to: Event Manager

Hours of work :  Monday – Friday, 9:30 am to 5:30 pm, however you will be required to work such hours as necessary to carry out your duties

Department/ Role Overview: 

The role covers all aspects of the event planning and organising process, from conception through to completion, including supporting post event analysis. The team is involved in the full range of client events, spanning small bespoke dinners through to large scale events for hundreds of attendees.

You will also be responsible for the management of Ashurst's hospitality and ticket purchases in London, using our preferred agent.

Our events are an extension of the Ashurst brand and need be delivered on time, within budget, and meet, and ideally exceed, expectations 

Main responsibilities: 

Pre Event Planning:

  • Researching and remaining abreast of event opportunities, distilling and circulating key information to relevant members of the Business Development team
  • Liaising with internal clients to ascertain precise event requirements/objectives
  • Providing creative input on events, ensuring that all events reflect the firm's brand and values

Project Management:

  • Liaising with suppliers
  • Ensuring insurance, legal, health and safety obligations are adhered to
  • Working with operational and administrative functions to ensure specific projects are delivered efficiently (including liaising with our Design team, internal/external comms, in-house catering, IT, HR and other functions as appropriate)
  • Travelling to on-site inspections and ensuring that all the logistics required for the smooth running of the event are in place
  • Providing regular updates to hosts regarding the progress of the event planning process and budget
  • Attending events as appropriate
  • Updating and maintaining the events database

Post Event Analysis

  • Organising post event debriefs with relevant internal hosts
  • Providing statistics to inform post event analysis

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies.

Essential skills and experience:

  • The ability to work well under pressure
  • Clear and confident communication skills (including effective communication with senior management and partners)
  • Excellent organisational skills
  • High level of attention to detail
  • Strong team player
  • Ability to juggle competing demands
  • Desire to continuously look to improve the way in which Ashurst run events
  • Intermediate to advanced level in MS Word, Power Point and Excel

Desired skills and experience

  • Intermediate to advanced level user of Interaction web and windows
  • Experience sending mailings/invitations via Email Broadcast Wizard
