THE OPPORTUNITY

As part of the Reception team, the role of the Reception Team Leader is to lead and support the Front of House team to provide a first class professional service to DLA Piper, which is client and commercially focused and supportive of the firm's business needs and vision.

This position requires a dynamic & dedicated manager with the ability to motivate and manage a pro-active team to an exceptional level of service. The person needs to be a forward thinker with a methodical approach, exceptional planning, and excellent organisational and communication skills with the ability to challenge in order to further develop the Business Support Services.

MAIN DUTIES AND RESPONSIBILITIES

  • Work efficiently to lead the Reception team in delivering a first class service to the firm and its clients on reception. This will include the booking of meeting rooms and video conferences, via a room booking software system. There will also be the allocation of facilities e.g. catering, audio visual equipment
  • Ensure the reception and meeting room areas are kept tidy at all times, and in excellent condition. Take responsibility to report any maintenance or related problems to the appropriate department as soon as they become apparent and ensure this is dealt with efficiently
  • To ensure team shift planning effectively covers the operational hours
  • To demonstrate leadership by assisting with training and developing for all employees in the department
  • To pro-actively look to recommend improvements to your work processes by providing suggestions and solutions
  • To show flexibility within the role and be prepared to assist others
  • To be prepared to assist your colleagues in a willing and positive manner and move from one activity to another within your overall remit
  • Lead by example and ensure the team look clean and smart, ensuring that the any uniform provided is used and worn correctly and to follow the appearance and conduct policy
  • To ensure meeting rooms are set up in a pro-active, accurate, and timely manner; ensuring the equipment is correct and works in accordance with the client's needs
  • Work in co-operation with colleagues in Facilities Departments and in other Departments to ensure the smooth and efficient operation of the meeting room areas
  • React efficiently and promptly to any queries, requests or problems and follow up to resolution
  • Read and understand the requirements of the firm's Health and Safety policy and ensure that it is applied appropriately, set a leading personal example
  • Ensure the Facilities and meeting room areas are kept tidy at all times, and in excellent condition
  • Ensure visitors and clients are greeted and dealt with in an efficient, courteous and responsive manner at all times, especially when addressing any technical issues or problems during a meeting
  • Read and understand the requirements of the firm's Health and Safety policy and ensure that it is applied appropriately; set a leading personal example

  • Excellent communication and interpersonal skills
  • The job holder needs to be fully aware of the importance of client care and must be committed to delivering a high level of service and to responding to client requests promptly and efficiently
  • Ability to deal with difficult and demanding personalities

  • Previous experience of leading a team to provide a similar service within a law firm or prestigious corporate environment. Relevant training, qualifications and experience to deliver services
  • Good understanding and experience of using to successfully deliver services
  • Reliable and trustworthy with ability to work on own initiative
  • Flexibility that is focused to delivering exceptional customer service
  • Ability to handle feedback in a calm, structured and professional manner
