Job Details

Our Bristol Real Estate team is seeking a Junior PA to provide excellent and professional PA support.  The role is suitable for an individual who is looking to grow and develop their administration or secretarial skills.  You will be supporting between 5 – 6 fee earners (Associates and Senior Associates) on a daily basis, as well as working as part of a larger PA  team, and will receive ongoing development and training.

This role is based in our Bristol office (next to Temple Meads station) with working hours of 9:30am - 5:30pm Monday – Friday.

Key Responsibilities

  • To provide highly professional, effective and proactive administrative and PA support to the PAs and legal teams as required
  • Develop and maintain exemplary positive internal and external client and colleague relationships
  • Proactively take responsibility for all travel arrangements, conference bookings and meeting room bookings in advance
  • Anticipate and avoid potential diary clashes, provide conference dial in or VC details for all organised meetings in advance
  • Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
  • Play an active role in managing and taking responsibility for the billing process working closely with our accounts team
  • Monitoring and assisting with management of fee earner mailboxes
  • Mapping and submitting property searches on behalf of fee earners
  • Work closely with colleagues to ensure all admin is dealt with in a timely manner including:-
    • Filing, scanning of post, drafting correspondence and communications
    • File opening, assisting with CDD requirements, closing / arranging off-site storage of files.
    • Checking, registering and scheduling title deeds
  • To provide ad hoc support for the PA team including covering for other PA absences and assisting PAs with work requests
  • Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
  • Involvement in ad-hoc projects as given by the team
  • Work to continuously develop effective ways of working within the team
  • To deal with any other reasonable requests

Further training will be provided to enable progression and enhancement of IT and PA skills as necessary
