Our Business Support Team have an exciting new role for an experienced secretary to join them in the Bristol office.

Working as a Legal Secretary you will provide effective high level administrative and secretarial evening support to our UK offices on a Wednesday, Thursday and Friday, covering, 15 hours per week, 3:00pm to 8:00pm. There is some flexibility on hours.

About the team

The Business Support Team consists of document specialists, legal secretaries and administrative assistants who cover a variety of different tasks and hours to meet the business needs.

The position will report into the Business Support Manager's Assistant and will be based in the central Business Support Team in Bristol which is currently a team of 17. 

Key responsibilities include:

  • Provide effective high level administrative and secretarial support
  • Assist and support the team supervisor, evening Senior PAs and wider team with workflow
  • Develop strong working relationships with internal and external contacts
  • Demonstrate excellent IT skills, with the ability to amend and format large and complex documents where necessary and / or create PowerPoint documents
  • Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
  • Respond to telephone and emails in a timely and professional manner
  • Supporting the team and wider team with:
    • general administration tasks (eg; photocopying, printing, filing and scanning)
    • Audio typing, copy typing and transcribing
    • Document amendments
    • Other tasks as requested
  • Demonstrate a high level of customer service at all times
  • Quality check work to ensure it is to a high standard and accurate
  • Build positive relationships across the business
  • Involvement with firm-wide projects as requested
  • Support other departments and assist with general duties that may be required

The ideal candidate:

  • Previous secretarial experience is essential
  • Excellent Microsoft Office knowledge (including Word, Excel, PowerPoint and Outlook)
  • Fast, accurate typing ability (around 70wpm)
  • Strong organisation skills
  • Excellent communication skills
  • Ability to work on own and as part of a team
  • Good time management
