THE ROLE

We are looking for a positive professional to provide first class professional P&W service to the DLA Piper Edinburgh Office, which is client and commercially focused and supportive of the firm's business needs and vision.

The P&W department provides premises, P&W and office services including management and maintenance of the firm's property portfolio, and business support services.

Reporting to the Regional Property & Workplace Manager, the Coordinator is responsible for the efficient and cost effective provision of services in the Edinburgh Office including hard and soft services. The Coordinator is responsible for health safety and environmental compliance, budget preparation and monitoring, contract and supplier management.

MAIN DUTIES AND RESPONSIBILITIES

The job holder will be expected to carry out the following duties:

  • Prepare, monitor and control the P&W office budget with support from the P&W Regional Management

  • Manage external contractors who provide the business with M&E, Cleaning & Security services, ensuring business needs are met

  • Manage Safety, Health & Environmental objects at accredited standards of ISO14001 and OHSAS 18001

  • Provide a space planning churn, moves and project management service to ensure business needs are met

  • Manage small projects (up to £100K) from initiation to completion

  • Management the in-house P&W team, offering guidance, and developing performance via agreed training opportunities

  • Develop and maintain close relationships with key internal and external contracts, responding to general enquiries

  • Manage, chair or attend staff/coordinator/health and safety committee meetings as required

  • Hold regular supervisory team meetings and team briefings to ensure good team communication is in place

  • Monitor and record holidays, sickness and other absence in accordance with the team's procedures ensuring all shifts and tasks are covered

  • Deal with any performance or disciplinary issues as they arise with assistance from HR and the Regional P&W Manager as required

  • Undertake performance reviews of direct reports

  • Recruit and train new P&W staff as required

  • Work occasional weekends as required by the business and, on occasion, respond to out of hours emergency situations

  • Ensure the P&W department is projecting a professional image in terms of dress, general tidiness, and excellent customer service

  • Work with other support services - HR, IT, Switchboard, Reprographics, Document Production and secretarial support to deliver a first class service to the firm

  • Undertake ad hoc projects as directed by the Regional P&W Manager

  • Undertake any other duties which may reasonably be deemed to come within the scope of the post

  • Ability to stay calm and composed in often demanding situations

  • Well-developed problem solving skills

  • Able to set clear objectives

  • Authoritative, articulate, innovative and confident figure able to exercise initiative and make decisions

  • Effective delegator/motivator

  • Capable of working as a member of a team

  • Suitable representative of the firm in dealing with suppliers, consultants and statutory bodies

  • Enthusiastic with a good sense of humour

  • Excellent attention to detail and able to work within strict deadlines

  • Ability to work at weekends, or out with normal office hours, as Property & Workplace projects are often completed out of hours to avoid business interruption
