Role: Senior Bid Executive

Location: London

Reporting to: Corporate Projects Business Development Manager

Hours of work - Monday to Friday, 9:30 a.m. – 5:30 p.m., may be required to work such hours as are necessary to carry out your duties

Department/ Role Overview:

In this pivotal role, you will be an integral part of the London Corporate Projects (CP) Business Development (BD) team, with lead responsibility for pitches (written proposals, tenders and pitch meetings) covered by this team. The CP department covers a range of project-based legal work types in the infrastructure, oil and gas, transport, mining and utilities sectors. You will directly lead on and support the production of a range of bids in the CP department, including global, regional and national panel tenders, transactional/project bids and tailored credential documents to both existing and target clients. You will also work on overflow pitches from other departments and support on best practice initiatives to help embed bid best practice across the firm.

Main responsibilities:

On bids, responsibilities will involve:

  • Interpreting complex RFPs and communicating client requirements to internal stakeholders;
  • Applying the firm's Go/No-Go process;
  • Leading on bid strategy and execution, including driving understanding of prospective client hot buttons, mapping client decision makers and influencers, identifying USPs and win messaging, and analysing competitor positioning;
  • Managing engagement with internal stakeholders (partners, fee-earners, practice/sector/geography BD and business teams);
  • Chairing or contributing to bid meetings, such as kick-off meetings, strategy sessions and internal reviews;
  • Bid project management from bid receipt to submission: agree internal bid timetable and milestones, track progress against timetable and escalate any issues;
  • Writing and managing bid response documentation. Sourcing, drafting and editing content as appropriate;
  • Championing bid best practice and presenting recommendations to partners and BD colleagues on how the Ashurst approach can be continually refined and improved;
  • Liaising with local BD team members and Client Relationship Managers (CRMs) to obtain practice/sector/client-specific information where needed;
  • Liaising with finance to develop the bid pricing strategy;
  • Liaising with other business teams as appropriate to input to bid response; and
  • Providing presentation coaching and strategic support to team's in preparation for the presentation/interview phase of bids
  • Producing materials for presentation meetings, liaising with the Design Team where appropriate
  • Provide support to the London CP BD team and BD team members in other departments/divisions on bids being led by other team members
  • Support the CP BD Manager in regular reporting and monitoring of pitch activity of the department, including by ensuring all pitches are centrally logged on the firm's global bid database so that precedent content can be easily located and accessed. Support with management information (MI) and performance analysis of pitch activity data as required to help identify trends
  • Collaborate with and support the London-based Head of Bids on central efforts to promote, embed and reinforce bid best practice across the firm
  • Undertake client post-pitch feedback interviews (independently or alongside partners) and report findings to bid team and BD stakeholders as appropriate
  • Other priority tasks and projects as guided by CP BD Manager

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies. 

Essential skills and experience:

  • Demonstrable experience of working in a similar bids role, with a track record of successfully managing bids end-to-end (from PQQ to ITT to presentation), either in a legal or professional services environment or in another bid-heavy sector
  • Strong understanding of bids best practice
  • Excellent written communication skills. Able to write compelling proposals that are clear, concise and error free in short timeframes
  • Excellent organisational skills, able to prioritise, delegate effectively, meet deadlines and monitor own workload. Able to work on multiple bid submissions in parallel required to deliver against timeframes
  • Enthusiastic, proactive and collaborative. Excellent service ethic, able to operate effectively in a high-performance environment and as part of a busy team
  • Excellent interpersonal skills, able to work effectively with individuals at all levels, including senior partners
  • Able to effectively influence and persuade senior stakeholders, balance differing opinions and drive teams towards consensus
  • Able to work autonomously as well as within a team
  • Competent user of the Microsoft Office suite, including Ppt, Word and Excel

 Desired skills and experience

  • Familiarity with UK government bids, other public sector bids and procurement-style bids
  • Exposure to the infrastructure, oil and gas, transport, mining and utilities sectors
  • Experience of working in a global environment that has involved coordinating input from multiple geographies and/or time zones
  • Familiarity with using bid portals and managing portal communications
  • Bid presentation/interview coaching skills
  • Familiarity with Adobe InDesign, with good eye for visual aesthetic and the presentation of proposal materials
  • Experience of undertaking trends analysis to identify areas for improvement in respect of bid performance relating to bid activity data
