The Document Automation Specialist reports into the Knowledge Systems Manager and Automation Lead.

The Role

Document automation

To serve as a leading resource in automating documents. Key responsibilities include:

  • Working closely with internal stakeholders (Partners, Associates and Knowledge Lawyers) to significantly increase the volume of documents automated within the firm to improve the quality and consistency of document production, increase firm efficiency and the effectiveness of our client offering
  • Deconstruct a document into its component parts, apply logic to the underlying structure and create the automation design
  • Understand the relevance of component parts of the document and apply logic to those relevancies in order to create optimal automation
  • Automate the document using Contract Express
  • Provide training to lawyers on how to mark-up a document for automation and provide advice on the best practice for document automation
  • Engage with fee earners to manage and prioritise work
  • Create and manipulate on-line questionnaires for use with automated documents to provide users with the most effective & efficient user experience
  • Test the document automation, record and resolve errors in automation
  • Complete all aspects of documentation following the successful document automation and manage the transition of the automated document to production (incl. user & support staff training)
  • Ensure that the organisation and administration of the automated documents is consistent with the firm’s House Style
  • Provide usage reports as needed
  • Work closely with the practice areas to promote automation solutions both within the business and as a client facing solution
  • Support practice groups to automate their standard documents and to keep their respective collections accurate and up to date
  • Learn other new technologies, as required, to bring efficiencies to the business and our clients

Knowledge Systems

To provide support to the wider Knowledge Systems Team as required; potentially including:

  • Assisting in the management of content on the Global Knowledge Platform
  • Providing user support on dealrooms and iSheets
  • Testing and user acceptance of new tools and technologies for accessing knowledge

Skills and Experience Required

  • The successful candidate will ideally be an accomplished document automation specialist with significant experience in a professional services environment
  • Ideally experience with using Contract Express
  • Experience and knowledge of working with legal documents
  • Experience of building relationships with internal and external clients
  • Experience managing projects and meeting client expectations
  • Previous people management experience is beneficial
